Can’t find a file you were working on in OneDrive? Below are ways to locate missing files and recover lost data.

Quick ways to find your file

Use OneDrive search

  1. Open OneDrive in your browser or the OneDrive desktop app.
  2. Click the search bar at the top of the OneDrive interface (or press Ctrl + E in the web app) – this searches OneDrive, not just the browser page.
  3. Enter part of the file name and press Enter.
  4. Select the desired result to open the file.

Check recent files

Check the Recycle Bins

  1. Sign in to the OneDrive web portal.
  2. In the left navigation, select Recycle bin to view items deleted by the user.
  3. If the file isn’t there, an admin can check the OneDrive for Business admin recycle bin in the OneDrive admin centre.
  4. For files stored in a SharePoint library, also open the SharePoint site, select Recycle bin (bottom left), and then the Second‑stage recycle bin if needed.
  5. Locate the missing file and choose Restore.

Deleted items are retained for a default of 30 days, but administrators can configure a different retention period.

If the file was synced to your computer

Check the local OneDrive folder

  1. Open File Explorer.
  2. Navigate to your OneDrive folder. The default path is similar to C:\Users\YourName\OneDrive, but the folder name may differ on Windows 11 or if it has been renamed.
  3. Use the Explorer search box to look for the file.

Files On‑Demand placeholders

  1. If you see a cloud icon next to the file, it is an online‑only placeholder.
  2. Right‑click the file and select Always keep on this device to download it.
  3. After the download completes, verify the file is accessible locally.

Files On‑Demand helps conserve local storage, but placeholders are not available when you are offline.

Check previous versions

  1. Right‑click the folder that should contain the file in File Explorer.
  2. Select Restore previous versions.
  3. Choose a version dated before the file disappeared and click Restore.

Storage quota, blocked file types, and accidental moves

Sync issues and permission changes

Check for pending sync

  1. Look at the OneDrive icon in the taskbar.
  2. If the icon shows a blue circle with arrows, files are currently syncing.
  3. Wait until the sync completes before taking further action.

Shared files that disappeared after permission changes

  1. Open OneDrive in the web browser.
  2. Navigate to Shared with me and verify whether you still have access.
  3. If access was removed, ask the file owner to re‑share the file or restore it from their recycle bin.

Restore from version history

  1. Open OneDrive in your browser.
  2. Right‑click the missing file (or click the three‑dot menu next to it).
  3. Select Version history.
  4. Choose a previous version from the list and click Restore.
