You need to recover a previous version of a file, or you're unable to find a file that was recently modified or deleted.

Method 1: OneDrive for Business (Cloud Files)

Check Version History:

  1. Go to onedrive.live.com and sign in.
  2. Navigate to the file you need.
  3. Select the file (single‑click) and then click the three‑dot menu or the Version history button in the toolbar.
  4. A list of versions with dates will appear.
  5. Click a version to preview it.
  6. Choose Restore to make it the current version, or Download to keep a copy.

Note: If the Version history option is missing, it may be disabled by an admin policy. Contact IT for assistance or see Document collaboration issues.

Recover a Deleted File:

  1. In OneDrive, select Recycle Bin from the left navigation.
  2. Locate the deleted file.
  3. Select the file and click Restore.

Method 2: SharePoint Online (Document Libraries)

Check Version History:

  1. Open the SharePoint site that hosts the library.
  2. Navigate to the relevant document library.
  3. Select the file and click the three‑dot menu, then choose Version history.
  4. Review the list of versions and click Restore on the desired version.

Note: If version history is unavailable, it may have been disabled by your administrator. Contact IT for further help.

SharePoint Recycle Bin

Both the first‑stage and second‑stage Recycle Bins can be used to recover deleted items.

  1. In the SharePoint site, click Recycle Bin in the left navigation (first‑stage).
  2. Select the items you wish to restore and click Restore.
  3. If the item is not in the first‑stage, click Second‑stage recycle bin at the bottom of the page, locate the item, and restore it.

Warning: Items are permanently deleted after 93 days in the second‑stage Recycle Bin.

Method 3: Restore Your OneDrive (Entire Library)

If you need to roll back the whole OneDrive library to a previous point in time:

  1. In OneDrive on the web, click the gear icon and select Restore your OneDrive.
  2. Choose a restore point (date and time) from the available list.
  3. Select the scope of the restore (all files, only deleted files, or only changes).
  4. Click Restore. OneDrive will recreate the library to the selected state.

Note: Restoring may take several minutes depending on the size of the library.

Method 4: Local File History (Windows 11)

If File History was enabled:

  1. Search for “File History” in the Start menu.
  2. Select Restore personal files.
  3. Browse through the backup snapshots.
  4. Locate the required file and click Restore to return it to its original location.

Method 5: Recover from the Recycle Bin (Desktop)

Check the Windows Recycle Bin:

  1. Open the Recycle Bin on your desktop.
  2. Locate the deleted file.
  3. Right‑click the file and choose Restore. The file returns to its original location.

Note: Files in the primary Recycle Bin are permanently deleted after 30 days (organisation settings may vary). Items then move to the second‑stage Recycle Bin, where they are retained for up to 93 days.

Method 6: Previous Versions (NTFS)

For files on mapped drives or local NTFS volumes:

  1. Right‑click the file or folder in File Explorer and choose Properties.
  2. Open the Previous Versions tab.
  3. Review the list of available versions (provided by System Protection/Shadow Copies).
  4. Double‑click a version to open it, or click Restore to overwrite the current version.

Note: This feature requires System Protection (Shadow Copies) to be enabled. If it is disabled, no previous versions will be listed.

Method 7: OneDrive Desktop App (Local Files)

If you have OneDrive syncing enabled:

  1. Open the OneDrive folder on your PC, e.g. C:\Users\YourName\OneDrive - Company Name\.
  2. If the file is not visible, check the OneDrive web UI for version history or use the Previous Versions tab as described in Method 6.
  3. To view the OneDrive Recycle Bin, right‑click the OneDrive icon in the system tray, select View online, then choose Recycle Bin from the left navigation.
  4. Restore the required file from the web Recycle Bin.

Method 8: Recover from Backup

If you have a regular backup solution:

  • Mac: Use Time Machine.
  • Company Backup: Contact IT for restoration.
  • External Drive: Browse the backup drive for the needed file.
