Common Causes

Problem

You’re having trouble collaborating on documents with colleagues — files won’t open, edits aren’t syncing, or you can’t see others’ changes.

Problem 1: File Locked for Editing

Someone else has the file open

  1. In Excel or Word, try opening the file.
  2. If it says “[User] is editing this”, wait for them to close it.
  3. Or ask the user to close the file.
Force close (if user is unavailable): Administrators can force‑close a file via the modern SharePoint admin centre. In the document library select the file, click Close file. PowerShell remains an option for bulk actions.

Break the lock (admin only)

SharePoint check‑out / check‑in

When a file is checked out, it is locked for other users.

  1. In the SharePoint library, locate the file.
  2. Click the ellipsis (…) > Check out to see its status.
  3. To discard a checkout, select Discard check out. This releases the lock.

Problem 2: Can’t See Others’ Edits

Check you’re online

  1. Ensure you have an active internet connection.
  2. For OneDrive files, verify the sync status (green check‑mark). See OneDrive not syncing for troubleshooting.
  3. Save the file (Ctrl + S on Windows, Cmd + S on macOS) to trigger a sync.
  4. Refresh the document or close and reopen it.
  5. Check that OneDrive isn’t paused and that you haven’t exceeded your storage quota.

Use the web version

  1. Go to office.com or the relevant SharePoint site.
  2. Open the document in the browser.
  3. Changes sync in real‑time with others.

Offline editing conflicts

If you edit a file while offline, changes may conflict when you reconnect.

  1. Before editing, ensure the file is fully synced.
  2. After reconnecting, let OneDrive sync the latest version before making changes.
  3. If a conflict occurs, follow the version‑conflict steps below.

Problem 3: Version Conflicts

Multiple people saved changes

If prompted about “conflicting copies”, choose one of the following:

Resolve manually

  1. In SharePoint or OneDrive, right‑click the file and select “Version history”.
  2. Compare the versions.
  3. Restore the desired version or merge the changes. See File version history/recovery for details.

Problem 4: Can’t Open a Shared Document

Check permissions

  1. The file owner must share the file with edit access.
  2. Ask the owner to:
    • Right‑click the file in OneDrive.
    • Select “Manage access”.
    • Ensure your name is listed with edit permission.

Clear browser cache

  1. If accessing via SharePoint, clear the browser cache.
  2. Try an incognito/private browsing window.
  3. Try a different browser.

Problem 5: OneDrive/SharePoint Sync Issues

Restart sync

  1. Right‑click the OneDrive icon in the taskbar and select “Close OneDrive”.
  2. Reopen OneDrive.
  3. Wait for sync to complete.

Unlink and relink

  1. Open OneDrive settings → Account → “Unlink this PC”.
  2. Sign in again.
  3. Choose the folders to sync and let OneDrive resynchronise.

File size limits

OneDrive for Business supports files up to 100 GB. Exceeding this limit can prevent sync and cause lock‑out situations.

Office Upload Center deprecation

The Office Upload Center is retired. To clear the Office document cache, open any Office app, go to File → Info → Manage Document → Recover Unsaved Documents, then click Delete cached files (or use the “Clear cache” button in the Office settings).

Regularly clearing the Office cache helps prevent stale lock files that can block collaboration.

Problem 6: Document Is Corrupted

Try recovery

  1. In Word or Excel, go to File → Info → Manage Document → Recover Unsaved Documents.
  2. Look for AutoRecover files (default location: %appdata%\Microsoft\Office\UnsavedFiles).

Check version history

  1. Right‑click the file and select “Version history” in OneDrive.
  2. Restore a previous working version. See File version history/recovery for guidance.

Best Practices for Collaboration

  1. Use the browser or desktop app together: Real‑time collaboration works best in office.com or Microsoft Teams.
  2. Tell others when you’re editing: Use comments or Teams to coordinate.
  3. Save frequently: Press Ctrl + S (Windows) or Cmd + S (macOS) regularly to ensure changes sync.
  4. Avoid editing the same section: Divide work by sections or pages.
  5. Use comments instead of direct edits: For feedback, use track changes or comments.
  6. Monitor file size limits: Keep files under 100 GB for OneDrive and respect SharePoint library limits.
  7. Clear Office cache regularly: Use the new Office settings to delete cached files.
