Common Causes
Problem
You receive a calendar invitation via email but it doesn't appear in your Outlook calendar, or you're missing expected meetings.
Symptoms
- Meeting invite email received but no calendar entry
- Meeting shows in email but you can't accept/decline
- Calendar shows no events when it should
- “Cannot add this meeting to your calendar” error
Troubleshooting steps

Verify calendar view and selected calendar
- Open Outlook.
- Select Calendar in the navigation pane.
- Ensure the correct view (Day, Week, Month) and date range are selected.
- If using a shared calendar, confirm the appropriate calendar is displayed.

Accept the invitation from the message
- Open the meeting invitation email in Outlook, Outlook on the web, or the mobile app.
- Click Accept, Decline or Tentative.
- Choose “Send the response now”.
- The meeting should now appear in your calendar.

Check Junk, Clutter and Focused Inbox folders
- Open the Junk Email folder.
- If your organisation still uses a Clutter folder, check it as well.
- Also review the Focused Inbox and Other tabs.
- If the invitation is found, right‑click, select Mark as not junk and move it to your Inbox.

Confirm delegate and permission settings
- In Outlook, go to Calendar → Share → Calendar Permissions.
- Verify you have at least Reviewer access.
- If you are a delegate, ensure the organiser has granted you delegate rights.
- Ask the organiser to resend the invite if permissions are insufficient.

Repair or recreate the Outlook data file
Outlook 365/Office 2019 may not display a “Repair” button. Use one of the methods below.
- Run the Inbox Repair Tool: locate
Scanpst.exe(usually underC:\Program Files\Microsoft Office\root\Office16) and scan your.pstor.ostfile. - If the file is corrupted, create a new Outlook profile:
- Press
Win + R, typecontroland press Enter. - Select Mail → Show Profiles.
- Click Add, give the profile a name, and configure the account.
- Set the new profile as the default and restart Outlook.

- As an alternative, reinstall Office to rebuild the data files.
- Run the Inbox Repair Tool: locate

Ensure the correct calendar is enabled and not hidden
- In Outlook, click Calendar → Add calendar → From Internet / From file / From directory to view all calendars.
- Make sure the calendar you expect the invite to appear on is checked.
- Unhide any hidden calendars via View → Folder Pane → Favorites.

Check connectivity, cached mode and Exchange service health
- Look at the status bar; it should read “Connected to Microsoft Exchange” or “Connected”.
- If it shows “Working Offline”, click Send/Receive → Work Offline to reconnect.
- Verify that Cached Exchange Mode is enabled (File → Account Settings → Change → Use Cached Exchange Mode).
- If Cached Mode is disabled, enable it and restart Outlook.
- Check the Microsoft 365 Service Health dashboard for any Exchange‑online incidents.

Clear Outlook cache and reset reminders
- Close Outlook.
- Delete the
RoamCachefolder: pressWin + R, enter%localappdata%\Microsoft\Outlook, and delete theRoamCachefolder. - Rename or delete the local

- At the bottom, select COM Add‑ins and click Go.
- Uncheck any third‑party add‑ins, then click OK and restart Outlook.

- If the invitation contains a Teams or Zoom link, click the link in the email.
- Accept the meeting in the browser or the respective app.
- The meeting should automatically be added to your calendar.

- Log into Outlook on the web and look for the invitation in Mail and Calendar.
- On mobile, open the Outlook app and locate the invitation; use the accept/decline options.
- If the invite appears in OWA or the mobile app but not in the desktop client, repeat the cache‑clear steps (Step 9) and verify the same account is signed in on all devices.

- Download the
.icsattachment. - Double‑click the file or drag it onto the Outlook calendar pane to create an event.

Additional checks for Outlook for Mac and Outlook mobile‑only clients
- On macOS, open Outlook → Preferences → Accounts, ensure the account is set to sync calendars.
- If needed, rebuild the Outlook database using the Microsoft Database Utility.
- On mobile‑only clients, verify that the app has calendar permissions enabled in the device settings.
- Consider clearing the app cache or reinstalling the app if the issue persists.

Verify invite details and mailbox quota
- Confirm the organiser sent the invitation to the correct email address.
- Check that your mailbox is not over its quota (File → Info → Cleanup Tools → Mailbox Cleanup).
- If the mailbox is full, archive or delete items and then retry accepting the invite.
