How to set up out-of-office reply

Set up in Outlook Desktop (Windows)
Method 1: Quick setup
- Click File in the top ribbon.
- Choose Info ► Automatic replies (or, in newer builds, File ► Automatic replies).
- Select Send automatic replies.
- Optionally tick Send replies only during this time period and set the start and end dates/times.
- Enter your internal reply in the text box.
- Click OK to activate.
Method 2: Detailed message (including external reply)
- Follow steps 1‑4 from Method 1.
- Select the Outside My Organization tab.
- Enter the message you want external senders to receive (optional but recommended).
- Click OK to save both messages.

Set up in Outlook on the Web
- Open outlook.office.com in a browser.
- Click the Settings gear icon.
- Choose View all Outlook settings.
- Select Mail ► Automatic replies.
- Toggle Automatic replies on.
- Set the time range (optional).
- Enter your internal reply.
- If required, enable Send replies to external senders and type the external message.
- Click Save.
Set up on Mobile
Outlook app – iOS
- Open the Outlook app.
- Tap your profile picture in the top‑left corner.
- Tap Settings.
- Tap Mail ► Automatic replies.
- Toggle Automatic replies on.
- Set the start and end dates (optional) and type your message.
- Optionally enable External replies and add a separate message.
Outlook app – Android
- Open the Outlook app.
- Tap your profile picture at the top‑left.
- Select Settings.
- Tap Mail ► Automatic replies.
- Turn on Automatic replies.
- Configure dates and compose your internal and, if desired, external messages.
Important reminders
- Turn it off: Remember to disable automatic replies when you return.
- Internal vs external: Consider separate messages for each audience.
- Update your Teams status: See How to create Teams channel for guidance on linking status.
- Delegate: Ask a colleague to monitor urgent matters on your behalf.
- Mailbox type: Automatic replies are only available for Exchange/Office 365 mailboxes. POP or IMAP accounts cannot use this feature.
- External replies: If your organisation’s admin has disabled external automatic replies, they will not be sent even if you enable them.
Combine with Teams status
- Open Microsoft Teams.
- Click your profile picture in the top‑right.
- Select Set status message.
- Choose Out of office.
- Configure the start and end dates and type the status message you want shown.
- Click Save.
Troubleshooting

| Can’t find Automatic Replies | Verify you are using an Exchange/Office 365 mailbox and have the necessary permissions. Contact IT if the option is still missing. |

| External replies not working | Ensure the “Send replies to external senders” option is enabled and that your admin has not disabled external OOF for the organisation. |
| Delegated mailbox OOF not sent | Delegates must set up their own automatic replies. The owner’s OOF does not apply to delegated access. |
| Shared mailbox OOF not sent | Configure automatic replies directly in the shared mailbox (File ► Info ► Automatic replies) while logged in as a member with full access. |
| Rule conflicts preventing OOF | Review any inbox rules that might move or delete incoming messages before the OOF can be sent. See Email not sending or receiving for guidance. |
| OOF not sent after mailbox migration | After a migration, allow up to 24 hours for the new mailbox to fully synchronise. Verify the setting in the new environment and re‑enable if necessary. |
| OOF not working with POP/IMAP accounts | POP/IMAP accounts do not support server‑side automatic replies. Use client‑side rules or consider migrating to Exchange. |
