1. Creating an appointment
An appointment is a time block on your calendar only.

- Add details in the body (agenda, notes, dial‑in information).

2. Creating a meeting (inviting others)
A meeting invites other people to your appointment.
- In Calendar view, click New Meeting on the Home tab.
Alternatively, open an existing appointment and click Invite Attendees on the ribbon to convert it to a meeting.

user@example.com) of people who must attend. - Optional attendees: Type the names of people whose attendance is optional.
- Enter the Subject and Location (or use the New Teams Meeting / Add Online Meeting button to insert a Teams or Zoom link).
- Set the Start / End times.
- Click the Scheduling Assistant tab at the top (highly recommended).
- To create a recurring meeting, click Recurrence on the ribbon and choose the pattern you need.
3. Using the Scheduling Assistant
The Scheduling Assistant helps you find a time that works for everyone.
- In the new meeting window, click the Scheduling Assistant ribbon tab.
- You will see a grid view.
- Left side: A list of all attendees and any rooms you have added.
- Right side (grid): A timeline showing coloured blocks for when people are busy (purple usually means Out of Office or All Events, blue/orange means Busy).
- Find a time: Look for white space on the grid (Free time).
- If no white space exists, click the Suggested Times button in the ribbon and select “All Attendees”. Outlook will propose the next available slot.
- Once you find a suitable slot, click the Appointment tab to return to the main view.
4. Sending the meeting request
- After setting the time, review the meeting request for accuracy.
- Meeting options: In the Meeting ribbon you can adjust:
- Response options: Ensure “Request Responses” is checked (default) and consider enabling “Allow New Time Proposals”.
- Categorise: Apply a colour category to the meeting.
- Click Send.
Attendees will receive an email invitation. When they accept or decline, you will receive a notification.

- Tracking: Open the meeting request you sent and click the Tracking button on the ribbon to see who has accepted, declined, or not responded.
- Update: If you need to change the time, modify the appointment and click Send Update. This sends a new invitation to all attendees.
6. Replying to a meeting request
- Accept / Decline: Open the meeting request email and click the Accept or Decline button on the ribbon.
- Propose new time: If you cannot attend, click Propose New Time, select a new slot and add a brief message (e.g., “Client call ran over”). The organiser receives the proposal and can accept or reschedule.
7. Viewing calendar options
- Day / Week / Month view: Change the view in the Home tab to see your schedule in different scopes.
- Overlay view: If you have multiple calendars (e.g., your own and a shared team calendar), tick the checkboxes on the left to overlay them or view side‑by‑side.
