Setting Up an Email Account in Outlook (POP/IMAP/Exchange)
Summary
This guide helps you troubleshoot and resolve: Setting Up an Email Account in Outlook (POP/IMAP/Exchange). Follow the steps below to fix the issue.
Common Causes
Prerequisites
- Microsoft Office/Outlook installed.
- Email address and password.
- For manual setup: Server details (incoming/outgoing IMAP or POP server names, port numbers, encryption requirements, usernames) supplied by your email service provider or IT organisation.
Method 1: Automatic Setup (Microsoft, Office 365, Outlook.com, Exchange, iCloud) – Recommended
Step‑by‑step (Classic Outlook Desktop)
- Open Outlook.
- Choose File > Add Account.
- Enter your full email address (e.g.,
warren@220.com.au). - Click Connect.
- If a Microsoft sign‑in window appears, enter your password or complete the web‑based sign‑in flow.
- Complete any Multi‑Factor Authentication (MFA) prompts.
- Click OK or Finish. Outlook will configure the server settings automatically.
For more detail on adding an account, see How to add email to Outlook.
Method 2: Manual Setup (Gmail, Yahoo, POP/IMAP Private Servers)
Step‑by‑step (Classic Outlook Desktop)
- Open Outlook.
- Choose File > Add Account.
- Enter your email address.
- Critical step: Click Advanced options and tick “Let me set up my account manually”.
In Outlook 2016 the checkbox appears after you click Connect; in Outlook 365 it is shown immediately. - Click Connect.
- Select your account type:
- IMAP – Recommended. Keeps messages synchronised between Outlook and the mail server.
- POP – Downloads messages to Outlook only; usually removes them from the server.
- Exchange / Office 365 – Choose this if your organisation uses Exchange but it was not detected automatically.
For most providers the username is the full email address (e.g., your.name@example.com).
Server Settings (Manual Entry)
Enter the details supplied by your provider. The examples below use generic placeholders; replace them with the values for your service.
If your provider uses two‑factor authentication, you will need an app password instead of your regular password. For providers without 2FA you may need to enable “allow less secure apps” or a similar setting.

- Outgoing mail server (SMTP):

SSL/TLSfor port 465,STARTTLSfor port 587
- Enter the server details provided by your email provider.
- Click Next.
- Enter your password (or app password if required).
- Click Connect.
- When Outlook confirms success, click OK and then Finish.
Method 3: Adding an Account via Control Panel (Alternative for older Outlook versions or issues)
- Close Outlook completely.
- Open Windows Control Panel (search from the Start menu).
- Select Mail (32‑bit) (or simply Mail on 64‑bit systems).
- Click Show Profiles.
- Ensure your current profile is selected (usually “Outlook”).
- Click Add… and give the new profile a name.
- Follow the prompts from Method 1 or Method 2 to add the account.
First Sync
- After the account is added, Outlook begins downloading mail, contacts and calendar items. The initial sync can take from a few minutes to several hours depending on mailbox size.
Troubleshooting
- “We couldn't automatically find the settings for your domain”: Use Method 2 (Manual Setup) and obtain the correct IMAP/POP/SMTP details from your provider.
- “Something went wrong” / “Re‑enter your password”: Verify the password (or app password) and ensure any MFA/2FA settings allow Outlook access.
- Connection refused / port errors: Check that firewalls or antivirus software are not blocking Outlook, and confirm the port numbers and encryption methods with your provider.
- Duplicate account: In Outlook choose File > Account Settings > Account Settings, select the duplicate entry and click Remove.
- For persistent send/receive problems, see Email not sending or receiving.
