Method A: Outlook Desktop (Classic Outlook app)

Create a New Signature

  1. Open Outlook.
  2. Go to File > Options.
  3. Select Mail from the left‑hand menu.
  4. Click the Signatures… button under the “Compose messages” section.
  5. In the Signatures and Stationery dialog, click New.
  6. Enter a name for the signature (e.g., “Work Signature”, “Support Team”).
  7. Use the Edit signature box at the bottom to design your signature.

Tip: Keep it concise – name, title, company, phone, website, and email.

  1. Click Save and then OK to close the dialog.

Method B: Outlook on the Web (OWA) / Outlook.com

Use this method if you do not have the desktop app or want to set a signature that works in the web client.

  1. Open a web browser and go to outlook.com, then sign in.
  2. Click the Settings (gear icon) in the top‑right corner.
  3. Select View all Outlook settings at the bottom of the pane.
  4. Choose Compose and reply.
  5. In the Email signature box, create and format your signature.
  6. Check “Automatically include my signature on new messages I compose”.
  7. Check “Automatically include my signature on messages I forward or reply to”.
  8. Click Save.

Signatures created in OWA do not automatically sync to the Outlook desktop client. You will need to recreate or copy the signature in the desktop app if you use both.

Managing Signatures for Multiple Accounts in Outlook Desktop

If you have more than one email account configured:

  1. Open the Signatures and Stationery dialog via File > Options > Mail > Signatures….
  2. In the “Select signature to edit” section, use the “E‑mail account” dropdown to choose the account you want to edit.
  3. Create or edit the signature for that specific account, then click Save.
  4. To set defaults, stay in the same dialog and under “Choose default signatures” select the desired signature for “New messages” and “Replies/forwards” for each account.
