Common Causes
Step‑by‑Step Instructions
Method A: Outlook Desktop (Classic Outlook app)
Create a New Signature
- Open Outlook.
- Go to File > Options.
- Select Mail from the left‑hand menu.
- Click the Signatures… button under the “Compose messages” section.
- In the Signatures and Stationery dialog, click New.
- Enter a name for the signature (e.g., “Work Signature”, “Support Team”).
- Use the Edit signature box at the bottom to design your signature.
Tip: Keep it concise – name, title, company, phone, website, and email.
- You can format text (Bold, Italic, Underline).
- Insert images (business logo, profile picture). Host images over HTTPS and keep each file under 100 KB to avoid spam filters and broken images.
- Insert hyperlinks (website, LinkedIn).
- Add a vCard (electronic business card) if needed.
- Click Save and then OK to close the dialog.
Apply Signatures to Emails
- New messages: Choose the desired signature from the dropdown to apply to all new emails you compose.
- Replies/forwards: Choose the signature for replies and forwarded messages (you may select “(none)” to save space).
Manually Insert a Signature in an Email
- Compose a new email.
- On the Message or Insert tab, click Signature.
- Select the required signature from the list.
- If the signature does not appear automatically, clear any existing signature and re‑select the correct one.
Method B: Outlook on the Web (OWA) / Outlook.com
Use this method if you do not have the desktop app or want to set a signature that works in the web client.
- Open a web browser and go to outlook.com, then sign in.
- Click the Settings (gear icon) in the top‑right corner.
- Select View all Outlook settings at the bottom of the pane.
- Choose Compose and reply.
- In the Email signature box, create and format your signature.
- Check “Automatically include my signature on new messages I compose”.
- Check “Automatically include my signature on messages I forward or reply to”.
- Click Save.
Signatures created in OWA do not automatically sync to the Outlook desktop client. You will need to recreate or copy the signature in the desktop app if you use both.
Managing Signatures for Multiple Accounts in Outlook Desktop
If you have more than one email account configured:
- Open the Signatures and Stationery dialog via
File > Options > Mail > Signatures…. - In the “Select signature to edit” section, use the “E‑mail account” dropdown to choose the account you want to edit.
- Create or edit the signature for that specific account, then click Save.
- To set defaults, stay in the same dialog and under “Choose default signatures” select the desired signature for “New messages” and “Replies/forwards” for each account.
Best Practices
- Mobile compatibility: Use simple text or minimal HTML. Heavy images can display poorly on mobile devices.
- Legal disclaimers: Consult your organisation’s legal team for appropriate wording.
- Image size: Compress logos to under 100 KB and host them on a secure (HTTPS) server to avoid triggering spam filters.
- Social media links: Include professional profiles (e.g., LinkedIn) only if permitted by company policy.
Troubleshooting
- Signature not saving: Ensure you click “OK” and “Apply” in the Options menu, not just “Save” in the signature editor. Corporate permission settings can sometimes block changes.
- Wrong signature appearing: Verify the default settings for the correct account in the Signatures dialog and confirm the “From” address in the new email.
- Images broken: Images stored locally will not display for recipients. Host them on an HTTPS web server or embed them as inline images where supported.
- For issues where the signature does not update after changes, see the article Email signature not updating.
