Overview

Channels help organise conversations and files within a Team. This article covers creating standard, private, org‑wide, and shared channels on desktop/web and mobile.

Prerequisites

  • You must be a Team owner to create channels.
  • If you’re a member, request the Team owner to create one for you.

Create a Channel (Desktop/Web)

Step 1 – Open the team

Navigate to the team where the new channel will reside.

  1. In the left navigation, select Teams.
  2. Locate and click the desired Team.
  3. Click the … (more options) next to the Team name.
  4. Choose Add channel.

Step 2 – Configure the channel

Provide the channel details and choose its privacy level.

  1. Enter a Channel name (e.g., “Marketing Materials”).
  2. Optionally add a Description to explain the channel’s purpose.
  3. Select Privacy:
    • Standard – Visible to all team members.
    • Private – Only members you add can see the channel.
    • Org‑wide – Accessible to everyone in the organisation (requires an Org‑wide channel licence).
    • Shared – Allows members from other teams to collaborate (requires a Shared channel licence).
  4. Click Add to create the channel.

Create a Channel (Mobile)

Use the Teams mobile app to create a channel without the now‑removed “+” step.

  1. Open the Teams app and sign in.
  2. Tap the desired Team.
  3. Tap the … next to the Team name.
  4. Select Add channel.
  5. Enter the channel name, optional description, and choose the privacy type.
  6. Tap Done to save the channel.

New Channel Types (Org‑wide and Shared)

These channel types were introduced after 2022 and are useful for broader collaboration.

Org‑wide channels

  • When to use: For announcements or resources that must be visible to every user in the organisation.
  • Creation: Follow the standard creation steps and select Org‑wide under Privacy.
  • Limitations: Cannot be private; all members are automatically added.

Shared channels

  • When to use: To collaborate with people outside the Team or across multiple Teams without granting full Team access.
  • Creation: Choose Shared under Privacy, then add members from any Team.
  • Limitations: Only available to users with the appropriate licence.

Manage Channel Members

Add people to a private channel

Standard channels inherit the Team’s membership and do not require separate member addition.

  1. Open the channel, then click the … next to the channel name.
  2. Select Add members.
  3. Search for and select the users you want to include.
  4. Tap Add.

Change member permissions

  • Owners can manage channel settings, including membership and permissions.
  • Members can post, reply, and access files.
  • Adjust permissions in the channel’s Settings pane.

Tips for Channel Organisation

Recommended channel types

  • General – Team‑wide announcements (cannot be deleted).
  • Projects – One per major project.
  • Departments – By function (Marketing, Sales, etc.).
  • Social – For non‑work conversation.

Channel tabs

Add useful tabs to surface frequently used resources.

  1. Click the + next to the existing tabs.
  2. Choose from Posts, Files, Planner, Wiki, or a website.

Common Issues

Issue Solution
Can’t see “Add channel” You’re not a Team owner – ask the owner for the required permission.
Channel not showing Refresh Teams or restart the app.
Need to delete channel Only owners can delete channels. The default “General” channel cannot be deleted.
Private channel creation blocked by policy Contact your admin to verify that the organisation’s Teams policy allows private channels.
Cannot rename a channel Only channel owners can rename. Use the channel settings → Edit channel name, or check if a policy restricts renaming.
Files not syncing in channel Ensure the SharePoint site is accessible (Cannot access SharePoint site) and that you have sync permissions.
New channel not visible after creation Sign out and back in, or clear the Teams cache. If the issue persists, raise a ticket.

Best Practices

  • Use clear, descriptive names (max 50 characters; avoid special characters).
  • Add a description so members understand the purpose.
  • Pin important channels to the top for quick access.
  • Use private channels for sensitive discussions.
  • Set up channel tabs for frequently used resources.
  • Be aware that organisational Teams policies may restrict channel creation, such as disabling private channels.
