Overview
Microsoft Teams can record meetings for later viewing. If a recording is not being created, verify the settings and requirements below.
Prerequisites for Recording
You Must Be
- The meeting organiser, or
- A presenter in the meeting
- Regular attendees cannot start a recording
Account Requirements
- A Microsoft 365 licence that includes Teams
- OneDrive or SharePoint for cloud storage (recordings are saved automatically)
Enable Recording in Teams
Check Your Recording Permission
- During the meeting, click … (More actions).
- If you see Start recording, you have permission.
- If the option is missing, ask the meeting organiser to make you a presenter.
Recording Storage
- Recordings are saved to OneDrive (for personal meetings) or SharePoint (for channel meetings).
- Channel meeting recordings are stored in the SharePoint site of that channel.
- Personal meeting recordings are stored in the organiser’s OneDrive under
Files → Recordings. - If you cannot locate the file, see OneDrive file missing or Cannot access SharePoint site.
Fix Common Recording Issues
"Recording not available" Error
- Check permissions: you must be the organiser or a presenter.
- Check storage access: ensure you can access your OneDrive or the relevant SharePoint site.
- Update Teams: install the latest Teams client version.
Recording Started but No File Appears
- Allow up to 30 minutes for processing after the meeting ends.
- Check the appropriate location:
- Personal meeting – organiser’s OneDrive
Files → Recordings. - Channel meeting – SharePoint site
Documents → Recordings.
- Personal meeting – organiser’s OneDrive
- The organiser can view who has accessed the recording from the file’s sharing settings.
"Can't find recording" After Meeting
- Open OneDrive or the channel’s SharePoint site.
- Navigate to the Recordings folder.
- Use the search box and enter the meeting name or part of the file name.
Recording Button Missing
- Update Teams: click your profile picture → Check for updates.
- Confirm your licence includes the recording feature.
- Contact IT to verify that the recording permission is enabled in your meeting policy.
Recording Settings (For IT Admins)
If you manage Teams, verify the following:
- In the Teams admin centre, go to Meetings → Meeting policies.
- Select the relevant policy (or create a new one) and expand Recording & transcription.
- Ensure Allow cloud recording is set to On.
- Optionally enable Allow transcription if required.
- Remember that policies can be applied at the user or group level.
Best Practices
- Wait 24–48 hours for processing if a recording appears to be stuck.
- Download a copy of the recording to a local device for backup.
- Review sharing settings before distributing the recording link.
- Delete recordings that are no longer needed to conserve storage.
- Inform all participants at the start of the meeting that it is being recorded, in line with Australian privacy requirements.
- Note: Microsoft Stream has been retired; recordings are now stored only in OneDrive or SharePoint.
