Method 1: AutoArchive (Automatic)

1. Configure AutoArchive settings

3. Configure archive policy per folder (optional)

Changes to the Inbox folder propagate to subfolders unless their properties are manually set.

AutoArchive works only with PST files. It is not applicable to Exchange or Microsoft 365 mailboxes, which use server‑side archiving instead.

If AutoArchive does not run, it may be disabled by Group Policy or an admin setting. Contact your IT department to verify the policy.

Method 2: Manual Archive (Export to PST)

1. Export to a .PST file

Before exporting, run ScanPST on the source mailbox to repair any corrupted items.

2. Increase the PST size limit (optional)

PST files have a default size limit of 50 GB. Exceeding this limit increases the risk of corruption. Consider creating multiple archives or increasing the limit as described above.

Method 3: Online Archive (Exchange / Microsoft 365)

In newer versions of Outlook (Office 365/Outlook 2019) you can also use the Archive button on the ribbon to perform server‑side archiving for Exchange mailboxes.

If the Online Archive mailbox is not visible, verify that you have an Exchange Online licence that includes archiving and that the feature has been enabled by your administrator.
