Problem
Emails are not arriving in your inbox, or sent emails are not showing in your Sent folder. Outlook appears stuck or shows offline status.
Symptoms
- "Working Offline" appears in the status bar
- New emails not appearing
- Emails stuck in Outbox
- Error messages about server connection
Solutions
Step 1: Check Outlook Mode
1. Look at the bottom-right of Outlook — does it say "Working Offline"?
2. If yes, click the "Send/Receive" tab
3. Click "Work Offline" to toggle it off — the button will become "Send/Receive All"
Step 2: Check Internet Connection
1. Open a web browser and visit any website
2. If you can't load websites, fix your internet first
3. If on VPN, ensure the VPN is connected
Step 3: Restart Outlook
1. Close Outlook completely (File → Exit)
2. Wait 10 seconds
3. Reopen Outlook
4. Give it 1-2 minutes to sync
Step 4: Repair Outlook Profile
1. Press Win + R, type control, press Enter
2. Go to "Mail" (or "Mail (Microsoft Outlook)")
3. Click "Show Profiles"
4. Select your profile and click "Properties"
5. Click "E-mail Accounts" → "Repair" next to your account
6. Follow the wizard — Outlook will reconnect
Step 5: Create a New Outlook Profile
1. Press Win + R, type control, press Enter
2. Go to "Mail" → "Show Profiles"
3. Click "Add" → enter a name (e.g., "Outlook-New")
4. Enter your email address and password
5. Click "Next" → "Finish"
6. Set "Always use this profile" and select the new profile
7. Open Outlook with the new profile
Step 6: Clear Outlook Cache
1. Close Outlook
2. Press Win + R, type %localappdata%\Microsoft\Outlook, press Enter
3. Delete the RoamCache folder (if present)
4. Restart Outlook
Step 7: Check Server Status
1. Visit your company's IT status page (if available)
2. Check if there are known issues with Exchange/Outlook
3. If yes, you'll need to wait for resolution
