Setting Up an Email Account in Outlook (POP/IMAP/Exchange)

Method 1: Automatic Setup (Microsoft, Office 365, Outlook.com, Exchange, iCloud) - Recommended
Step-by-Step (Classic Outlook Desktop)
- Open Outlook.
- Go to File > Add Account.
- Type your full Email Address (e.g., warren@220.com.au).
- Click Connect.
- A Microsoft sign-in window will appear. Enter your email password or sign in via web browser if prompted.
- Follow any additional MFA (Multi-Factor Authentication) steps.
- Click OK or Finish. Outlook will configure server settings automatically.
Method 2: Manual Setup (Gmail, Yahoo, POP/IMAP Private Servers)
Step-by-Step (Classic Outlook Desktop)
- Open Outlook.
- Go to File > Add Account.
- Type your Email Address.
- CRITICAL STEP: Click Advanced options and check "Let me set up my account manually."
- Click Connect.
- Select your account type:
- POP: Downloads email to Outlook only. Typically leaves no copy on the server.
- Exchange/Office 365: If not detected automatically.

Server Settings (Manual Entry)

- Port: `995`
- Encryption Method: `SSL/TLS`
- Outgoing Mail Server (SMTP): `smtp.gmail.com` (for Gmail)
- Port: `465` or `587`
- Encryption Method: `SSL/TLS` (if port 465) or `STARTTLS` (if port 587)
- Enter the Server details provided by your email provider or guessed for known providers.
- Click Next.
- Enter your password (or App Password for Gmail/G Suite).
- Click Connect.
- If successful, Outlook will confirm. Click OK and Finish.
Method 3: Adding Account via Control Panel (Alternative for older Outlook or issues)
- Close Outlook completely.
- Open Windows Control Panel (search in Start).
- Select Mail (32-bit). (Or Mail if 64-bit).
- Click Show Profiles.
- Ensure your current profile is selected (usually "Outlook").
- Click Add...

Troubleshooting
- "We couldn't automatically find the settings for your domain": This means you must use Method 2 (Manual Setup) and find the server settings (IMAP/SMTP/Ports) from your email provider's help site or IT support.
- "Something went wrong" / "Re-enter your password": Incorrect password, or security settings (MFA/2FA) blocking access. For Gmail, ensure you are using an App Password, not your standard login password.
- Connection Refused/Port Errors: Ensure your firewall or antivirus isn't blocking Outlook. Verify the port numbers and encryption methods are correct with your provider.
- Duplicate Account: If you added the account twice, go to File > Account Settings > Account Settings. Select the duplicate and click Remove.
