How to Share Your Calendar in Microsoft 365

Overview

Sharing your calendar lets colleagues see your availability and optionally view event details. Here's how to set it up.

Share Calendar in Outlook Desktop

Method 1: Quick Share

1. Open Outlook

2. Click the Calendar icon in the bottom-left

3. Click Share Calendar in the toolbar

4. Enter the recipient's email address

5. Choose permission level (see below)

6. Click Send

Method 2: Calendar Permissions

1. In Calendar view, right-click My Calendars

2. Click Share Calendar

3. Select the calendar to share (if you have multiple)

4. Add recipients and set permissions

5. Click Send

Permission Levels

| Free/Busy | Just when you're free or busy |

| Limited Details | Subject and location (if allowed) |

| Full Details | All event information |

| Delegate | Full details + can manage your calendar |

Share Calendar in Outlook on the Web

1. Go to [outlook.office.com](https://outlook.office.com)

2. Click Calendar in the left sidebar

3. Click Share in the toolbar

4. Enter the person's email address

5. Select permission level

6. Click Share

Outlook for iOS/Android

1. Open the Outlook app

2. Tap the Calendar icon

3. Tap the gear icon ⚙️ for settings

4. Tap Share or Calendar Permissions

5. Add people and set their access level

Accept a Shared Calendar

1. You'll receive an email invitation

2. Click Accept in the email

3. The calendar will appear in your Calendar view under "Shared Calendars"
