Common Causes
Document Collaboration Issues - Business User Guide
Problem
You're having trouble collaborating on documents with colleagues — files won't open, edits aren't syncing, or you can't see others' changes.
Common Issues
- "File is locked for editing" by another user
- Can't see other people's edits
- Document won't open or is corrupted
- Version conflicts when multiple people edit
Solutions
Problem 1: File Locked for Editing
Someone else has the file open:
1. In Excel/Word, try opening the file
2. If it says "[User] is editing this," wait for them to close it
3. Or ask them to close the file
Force close (if user is unavailable):
1. Go to SharePoint/OneDrive online (onedrive.com)
2. Navigate to the file
3. Right-click → "Manage access" or "Version history"
4. Check for other users with editing rights
5. Contact the user to close the file
Break the lock (admin only, contact IT):
- IT can forcibly close the file
Problem 2: Can't See Others' Edits
Check you're online:
1. Ensure you have an internet connection
2. For OneDrive files, check sync status (green checkmark)
3. Save the file (Ctrl + S) to sync changes
4. Refresh or close and reopen the document
Use the web version:
1. Go to office.com or SharePoint
2. Open the document in the browser
3. Changes sync in real-time with others
Problem 3: Version Conflicts
Multiple people saved changes:
1. If prompted about "conflicting copies," choose:
- "Keep my version" — Your changes
- "Keep their version" — Other person's changes
- "Keep both" — Creates a separate copy
Resolve manually:
1. In SharePoint/OneDrive, right-click → "Version history"
2. Compare versions
3. Restore the version you want or merge changes
Problem 4: Can't Open a Shared Document
Check permissions:
1. The file owner must share with edit access
2. Ask the owner to:
- Right-click the file in OneDrive
- Click "Manage access"
- Ensure your name is listed with edit permission
Clear browser cache:
1. If accessing via SharePoint, clear cache
2. Try an incognito/private browser window
3. Try a different browser
Problem 5: OneDrive/SharePoint Sync Issues
Restart sync:
1. Right-click OneDrive icon → "Close OneDrive"
2. Reopen OneDrive
3. Wait for sync to complete
Unlink and relink:
1. OneDrive settings → Account → "Unlink this PC"
2. Sign in again
3. Sync the folder again
Problem 6: Document Is Corrupted
Try recovery:
1. In Word/Excel, go to File → "Open" → "Recover Unsaved Documents"
2. Look for AutoRecover files (default: %appdata%\Microsoft)
Check version history:
1. Right-click file → "Version history" (in OneDrive)
2. Restore a previous working version
Best Practices for Collaboration
1. Use the browser or desktop app together:
- Real-time collaboration works best in office.com or Teams
2. Tell others when you're editing:
- Use comments or Teams to coordinate
3. Save frequently:
- Ctrl + S regularly to ensure changes sync
4. Avoid editing the same section:
- Divide work by sections or pages
5. Use comments instead of direct edits:
- For feedback, use track changes or comments
Where to Store Collaboration Files
- OneDrive for Business — Personal files to share
- SharePoint — Team/organizational files
- Teams — Chat and meeting files
- Never store in local-only folders
